How to reconcile a settlement to my bank account

Each settlement payout on your bank statement or transaction history is identified by the unique 12-character payout ID from the Payouts Report. This is the same as the settlement ID in the Dashboard. For example, 000G7HDD96SH.

  1. For the payout ID you want to reconcile, look up the Payout Amount field in the Payouts Report for the date range when you received the payout in your account.
  2. Check that the payout amount on your bank statement matches the amount in the report.

If the payout amount does not match

Your payout may not match the total of the payments it covers. Fees, conversions, and adjustments all affect your Available balance in between. Check the following causes.

You are using the Payments Report

The Payments Report and the Payouts Report measure different activity over different periods. They do not reconcile against each other. Use the Payouts Report to reconcile a payout, and the Transaction breakdown on the settlement itself for a line-by-line view.

Fees charged since your last payout

Checkout.com deducts fees from your Available balance as they are charged, not only when we generate a settlement. Any fee charged after your last payout reduces your next one, so a payout can be smaller than the payments it covers.

To see every fee charged in a period, use the Financial Actions by Date Range Report.

Currency conversion

If you process in a currency other than your settlement currency, we convert the funds before paying them out, so the amount you receive differs from the total of your payments.

Minimum billing fee

If your processing fees for a month were below your contracted minimum, we charge you the difference. The fee is calculated from the previous month's processing, so it appears a month later than you expect it.

Network token fees

We charge network token fees per token action, not per payment. They are easy to miss when you compare a payout to your payments. To find them, filter the Breakdown Type field in your Financial Actions by Date Range Report for Network Token Provisioning Fixed Fee and Network Token Update Fixed Fee.

You use gateway services only

If you use Checkout.com for gateway services only, we are not in the flow of funds. Your acquirer settles you directly, so you have no settlement report to reconcile against.

Reconcile a whole month instead of one payout

To check a month rather than a single payout, download your Financial Actions by Date Range Report and your Balance Report for the same period and the same time zone.

Sum the Holding Currency Amount field in the Financial Actions by Date Range Report, and include every breakdown type. The total equals the difference between the Opening Available Balance and the Closing Available Balance in the Balance Report.

If the two totals do not match, contact your account manager or request support with the period, currency, and sub-account you are reconciling.
