How to find and understand transactions

This article contains a video and step by step guide on how to find and understand transactions in the Checkout.com Dashboard.

00:00: In this video we'll see how to look up payment transactions in the Dashboard and

00:03: interpret their final results.

00:05: We'll also see how to instantly check a transaction status.

00:09: First, log into Dashboard by adding your email address and password.

00:14: You're now on the Dashboard, business overview page.

00:18: Click all payments on the left to view transactions.

00:22: To view a specific transaction record, type your unique identifier, for instance a

00:27: payment ID - into the search field.

00:31: Click on the result to access the payment details page of the transaction.

00:36: Here you can view the entire lifecycle of that transaction, including its path from

00:40: authorization to capture, void, or refund. These

00:43: are called transaction phases - or actions.

00:48: We can see the transaction was authorized with a response code of 10000 with status

00:54: approved.

00:54: This means the authorization was successful. In the authorization

00:58: phase, merchants ask the card issuer to verify the card details and ensure the

01:03: customer has enough money. Once approved, the bank places a temporary hold on the

01:07: funds, but the money isn't actually transferred yet.

01:11: Then the transaction moved to capture,

01:13: again with a response code of 10000 with status approved. Capture is the

01:18: collection phase - it follows the authorization hold, prompting the system

01:22: to actually pull the reserved funds (fully or partially) from the customer's account.

01:28: The final stage of this transaction is a refund, with a response code of 10000

01:34: approved.

01:34: Refunds return money to the cardholder after a payment has been captured and the

01:39: funds have moved. Since this is the last approved action,

01:42: the transaction state is refunded.

01:45: Each time one of these actions occurs, the transaction status updates to show the

01:49: result.

01:50: After a successful authorization, the status displays as authorized.

01:54: Once the transaction is captured, it changes to captured. If a refund is issued, it

02:00: updates to refunded. The status always reflects the most recent action and tells you

02:05: where the transaction is right now.

02:08: It works the same way for a voided transaction. For this

02:12: demo, we'll now go back to all payments to select a voided transaction.

02:16: Here, we'll select the first voided transaction on the list to take a look at the

02:20: details.

02:22: When a void is processed, the status changes to voided,

02:25: meaning the authorization is canceled and no funds will move.

02:29: This means the payment was stopped before capture. Now,

02:33: let's look at failed transactions.

02:37: This is what a declined transaction looks like,

02:39: notice the response code 20014. When a transaction is declined, the status updates to

02:45: declined, meaning the request has been failed or rejected.

02:50: To summarize, the transaction type, action or phase represents the action performed

02:54: - so authorization, capture, void, or

02:58: refund. The transaction status is the current and latest state of the transaction shown

03:03: on the dashboard.

03:05: Now you know how to find and understand transactions in the Dashboard.
